TransRockies is looking for a highly organized, people-focused Participant Experience & Race Office Manager to support our athletes from their first registration question through to race office check-in, event updates, awards, and the finish-line experience.
This role will focus primarily on the cycling side of the business, including our mountain bike, gravel, and fondo events. You’ll work alongside another part-time team member whose primary focus is our trail running events. Together, this small participant experience and race office team helps create a consistent, professional, and welcoming experience across the TransRockies portfolio.
As the Participant Experience & Race Office Manager – Cycling, you're primarily focused on bike events. Where skills, talents, and technical knowledge apply, you will also support our trail-running portfolio and work alongside the team members at running events, occasionally providing coverage during absence. TransRockies has an “all-hands-on-deck" culture.
This role is part customer service, part registration systems management, and part on-site event operations. During the planning season, you’ll keep participant communications and registration details running smoothly. During race season, you’ll be in the field with the team, running the race office at multi-day outdoor events across Canada and the U.S.
For 25 years, TransRockies has produced trail running and cycling events across Canada and the U.S. In 2026, we have 12 epic events and welcome over 8,000 athletes to the start line each season, across Alberta, British Columbia, Colorado, Utah, California, New Mexico and Arizona. The business is growing with its world-class Trail Running, MTB, Gravel and Fondo portfolio, and this role is a chance to grow with it.
Attendance at many of our cycling events in Canada and the U.S. is required, with approximately 6–8 weeks of event travel per season. Some support for trail running events may also be required, including coverage during absences or shared support at selected events.
What you'll do
Be the primary point of contact for participant inquiries for assigned events, with a primary focus on the cycling portfolio
Keep participants informed proactively, with clear, timely communications ahead of events rather than only answering questions as they come in
Manage our online registration systems and backend so details are right the first time, and handle the cases that fall outside the standard workflow
Work closely with the team member focused on trail running events to maintain consistent participant communications, registration processes, race office standards, and coverage across the business
Provide crossover support for trail running events when needed, including absence coverage and occasional shared event support
Prepare registration reports, lists, and event materials
Run the on-site race office during event days, including multi-day events, working closely with participants, crew, and the broader event team
Oversee crew check-in and assist with race timing
Manage awards ceremonies
Coordinate participant and staff accommodations, and help maintain strong relationships with host communities, hospitality and tourism partners
Support our sponsors on-site and in participant communications
Attend regular management meetings
What you'll bring
Strong participant/customer service skills, with a calm, helpful, and professional communication style
Excellent written and verbal English communication skills
Comfort learning and managing registration systems, databases, reports, and event admin tools
Strong organization skills and attention to detail
Ability to manage competing priorities and solve problems independently
Comfort working long, active event days outdoors in variable conditions. This position requires the ability to perform rigorous physical labor in various weather conditions. Essential duties include lifting and carrying up to 50 lbs, standing and walking for extended periods, bending, stooping, and safely handling heavy event equipment such as fences, tents, and signage.
Eligibility to work in Canada
Ability to travel to events in Canada and the U.S.
Valid passport or ability to obtain required travel documentation before event travel
Valid driver’s licence and ability to drive rental or company vehicles as required
Nice to have
Experience with Movemint, UltraSignUp, or similar registration platforms
Experience in endurance sports, outdoor events, tourism, hospitality, or participant/customer experience
Additional languages
Experience coordinating accommodations, awards, timing support, or event check-in
The details
Year-round role, with flexibility between approximately 0.6 and 1.0 FTE depending on the successful candidate’s availability, experience, and business needs. Hours are generally lighter and more flexible during the planning season, and heavier during event periods.
Compensation range: $30–$35 CAD per hour, commensurate with experience and skill set
Remote for much of the year, with occasional travel to the Calgary head office
Event travel required across Western Canada and the United States, approximately 6–8 weeks per season; event lodging and approved travel expenses are provided or reimbursed
Flexible office hours during the planning season; long, active days during event periods
Event periods may include weekends, evenings, and work outdoors in variable weather
Target start date: as soon as possible, ideally with some transition before July 4, 2026
